Short answer: To book a Texas camp for a church group of 200 or more, start 9 to 12 months out, lock your headcount range and your dates, and only shortlist camps that can sleep, feed and gather your whole group in one place at the same time. Far fewer Texas camps can do all three at that size than can host a group of 60. Camp Connection lists Christian camps and retreat centers across Texas at /christian-retreat-centers/texas/, and a real person can call camps for you to find the ones with room on your dates.
Why large groups are different
A youth retreat of 40 has dozens of options in every corner of Texas. A church-wide family camp, a multi-church youth camp or a Disciple Now weekend of 200 to 600 people does not. At that size, three limits decide almost everything:
- Beds. You need enough overnight beds for every guest and every leader, plus the right mix of cabins, lodge rooms and private rooms for families or older adults.
- Dining. The dining hall has to seat your group, or the camp has to run two meal shifts that still fit your schedule.
- One room for everyone. Your main sessions need a meeting space that holds the whole group at once.
If a camp misses any one of the three, it is not a fit, no matter how good the rest looks.
Pick your Texas region by drive time
Most church groups want to arrive within two to three hours. Choose the region first, then the camp:
- Hill Country: west of Austin and San Antonio, the traditional Texas camp region.
- Piney Woods: East Texas forests, within reach of Houston and Dallas-Fort Worth.
- DFW and North Texas: short drives for the Metroplex.
- Houston and the Gulf Coast: close for the Houston area.
- West Texas and the Panhandle: for groups from Lubbock, Amarillo, Midland and Odessa.
- The Rio Grande Valley: for South Texas groups.
Book on the right timeline
Youth ministries usually book 6 to 9 months ahead, and groups of 200 or more should start earlier, 9 to 12 months out, because the few camps that fit fill first. Spring retreat weekends and summer weeks go fastest. Have a first-choice weekend and a backup before you start calling.
Questions to ask every camp
- How many overnight beds do you have, and how are they split between cabins and lodge rooms?
- How many people can your dining hall seat at one meal?
- What is your largest meeting room, and how many does it seat?
- Do you run the program, or do we bring our own speakers and schedule?
- Is the whole camp ours that weekend, or will another group share it?
- What do you need from us, and by when, to hold the dates?
Let someone else make the calls
Calling a dozen camps to find two with room is slow. Tell Camp Connection your headcount, dates and drive time at /church-groups/ or call (877) 729-2267, and a real person will check which camps actually have room for your group.
