Booking an East Texas Piney Woods camp for a church group of 200 or more

Camp Connection ·

How to book a Piney Woods camp in East Texas for 200+ people: when to book, what to check first and the questions to ask every camp.

Short answer: To book a Piney Woods camp in East Texas for a church group of 200 or more, lock in your headcount range and two or three possible weekends first, then shortlist only camps that can sleep, feed and gather your whole group at the same time. Start 9 to 12 months ahead for groups this size, and 6 to 9 months ahead at the latest for youth weekends. Camp Connection lists Christian camps and retreat centers across Texas at /christian-retreat-centers/texas/, and a real person can call camps for you to find the ones with room on your dates.

Why East Texas and the Piney Woods

The Piney Woods cover the eastern side of Texas, with tall pine forest, lakes and rolling country. For church groups coming from Houston or Dallas-Fort Worth, East Texas is often a shorter, easier drive than the Hill Country, and that drive time is usually what decides the region for a large group. Lakes and wooded land make it a natural fit for youth retreats, family camps, men's and women's retreats and church-wide weekends.

What changes at 200 or more

Most camps are built for groups well under 200. Once you pass that number, the list gets short, and three limits decide it:

  1. Beds. Count every guest, leader, sponsor and volunteer. Ask how the beds are split between cabins, lodges and private rooms, and whether the camp can house your adults separately from your students.
  2. Meals. Ask whether the camp cooks and serves meals, how many the dining hall seats at once, and how many seatings it would take to feed your whole group.
  3. One room for everyone. Your main sessions need a meeting space that seats the whole group together, with the sound and screens you plan to use.

If a camp misses any one of the three, keep looking. A camp that can sleep 250 but only seat 150 for worship is not a fit.

When to book

  • Groups of 200 or more: start 9 to 12 months out. Fewer camps can host you, so the open weekends go first.
  • Youth retreats and Disciple Now weekends: start 6 to 9 months out at the latest.
  • Spring and fall weekends: these fill first, so have two or three date options ready.
  • Midweek and January to February dates: often easier to find for groups that can be flexible.

Questions to ask every East Texas camp

  • Do you have room for our full headcount, including leaders, on our dates?
  • Will our group have the whole property, or will we share it with another group?
  • Do you cook and serve meals, and how many people can you seat at one time?
  • Which meeting room seats our whole group, and what sound and video does it have?
  • What activities can your staff run for us, and which spaces can we use on our own?
  • Is there parking for buses, vans and trailers, and what time can we arrive?
  • What do you need from us to hold the dates, and by when?

Write the answers down the same way for each camp so you can compare them side by side.

Plan the drive

Most church groups want to arrive within two to three hours. If your group is coming from Houston or Dallas-Fort Worth, ask about Friday arrival times and bus parking before anything else. If East Texas does not work out, the Texas directory also covers the Hill Country, North Texas, the Gulf Coast and West Texas.

Let someone else make the calls

Calling camp after camp to ask the same questions takes days, and at 200 or more most of the answers are no. Camp Connection does it for you: tell us your headcount, dates, starting city and what matters most, and a real person checks which camps actually have room for your group. Start on our church groups page or call (877) 729-2267.
